Xactimate Price List Not Updated? How Stale Lists Cost Contractors Thousands

By Vokrix Team

Over 75% of restoration contractors use Xactimate, according to C&R and KnowHow's 2023 State of the Industry Report (One Claim Solution, 2023).

TL;DR: When your Xactimate price list isn't updated, you are leaving money on the table on every single claim. Over 75% of restoration contractors use Xactimate, yet many are pricing jobs off an outdated list while carriers are working from the current one. That mismatch can cost thousands per claim. The solution is to automate your Xactimate price list update every month and keep your custom markup applied, so estimates stay accurate and profitable without manual work.

Xactimate is the backbone of the restoration industry. According to C&R and KnowHow's 2023 State of the Industry Report, over 75% of restoration contractors use it to write estimates (One Claim Solution, 2023). But using Xactimate and using it profitably are two entirely different things. The difference usually comes down to one overlooked detail: whether your price list is current.

When Xactimate publishes a new price list, carriers adopt it quickly. They are pricing every claim against the latest labor rates, material costs, and line item values. If you are still writing estimates off last year's list, you are not just out of date. You are undervaluing your work on paper before the adjuster even gets involved.

Here is what actually happens on a claim. You write an estimate off a stale price list and submit it. The carrier runs the same scope through the current list. Their number comes out different from yours. Sometimes it is lower, and you have to justify every line. Sometimes it is higher, which means your original estimate was already too low, and you spend the whole negotiation just trying to get back to what the job is worth. Either way, the clock is ticking, the claimant is waiting, and the margin on the job is shrinking.

Frequently asked questions

How do I automatically update my Xactimate price list every month and keep my custom markup applied?

An automated update service pulls the latest Xactimate price list each month, applies your markup rules to it, and pushes the finished list back into your Xactimate account. You set your markup once, and every monthly update preserves it automatically. That means the newest labor rates and material costs land in your estimates without you touching a single line item or redoing your pricing by hand.

Why is my Xactimate price list outdated and how is it causing me to lose money on claims?

Most contractors are not trying to work from a stale list; they simply do not have the time or staffing to track Xactimate's release schedule and rebuild their pricing every month. When a manual update gets postponed, the gap between your list and the carrier's current list grows. Claims get written at old rates, so your estimate comes in lower than what the job actually costs at today's prices. That difference comes straight out of your profit, and it happens on every single claim until you catch up.

How do restoration contractors apply a custom markup to every Xactimate estimate without manually updating each claim?

Contractors set up a custom markup profile once, then let automation carry it forward. Every time the price list is refreshed, the markup is reapplied to the new line items automatically. This keeps the markup consistent across all of your estimates, eliminating the mistakes and omissions that happen when someone tries to apply a markup manually claim by claim. Instead of remembering to add your overhead and profit, it is built into every estimate at the correct rate.

What happens when you write Xactimate estimates off a stale price list and the carrier is using the current one?

A stale list creates a mismatch the adjuster will catch immediately. If your old rates are lower than the carrier's current rates, your estimate undervalues the work and you earn less than you should, even if the claim is approved as written. If your old rates are higher, the adjuster rejects or cuts your line items, forcing you into a negotiation just to get paid a fair amount. Both outcomes cost you time, leverage, and money on claims that should have been straightforward.
