UK small businesses spend an average of 10 hours per week chasing late payments, according to a report by Intuit QuickBooks.

TL;DR: UK small businesses waste an average of 10 hours a week chasing late payments, according to Intuit QuickBooks. Automated invoice chasing software UK firms use sends polite, scheduled reminders on your behalf, reconciles payments against your bank statements, and helps you get paid faster without awkward client conversations. It typically costs less than the admin time it saves, making it a straightforward investment for small businesses and freelancers across the UK and EU.

Late payments are one of the most frustrating parts of running a small business. You do the work, you send the invoice, and then you wait. And wait. Then you start chasing. A report by Intuit QuickBooks found that UK small businesses spend an average of 10 hours per week on this exact task, which is time that could be spent serving customers, growing the business, or simply going home on time. The problem isn't just the cash flow gap, it's the silent tax it places on your week.

Automated invoice chasing software UK small businesses have been adopting tackles the problem at the source by removing the manual follow-up work entirely. Instead of you remembering to send a reminder on day 7, day 14, and day 30, the software does it automatically. It sends a sequence of increasingly firm but polite messages, always scheduled at the right intervals, so no invoice ever slips through the cracks again. The result is a predictable cash flow and a calendar that no longer revolves around payment chasing.

The best part is that automation doesn't have to feel robotic to your clients. The software is designed to sound human, with friendly language that mirrors how you'd naturally write. You can customise the tone, the timing, and the escalation level, so a first reminder might sound like a gentle nudge while a final notice is more direct. This matters because the goal isn't just to get paid, it's to get paid without damaging relationships. A well-timed, well-worded reminder actually improves trust because it shows you run a professional operation, not a chaotic one.

Frequently asked questions

How can automated invoice chasing software help my small business get paid faster?

Automated invoice chasing software helps you get paid faster by sending a structured sequence of reminders the moment an invoice becomes overdue. Instead of relying on your memory or waiting until you have time to follow up, the software sends a polite nudge on day one, a firmer message a week later, and a final notice if needed. This consistent, timely contact keeps your invoice at the top of the client's to-do list, which significantly shortens the time between invoice date and payment date. Because the software escalates automatically, no invoice ever gets forgotten, and payment delays become the exception rather than the norm.

What is the best way to chase late payments without damaging client relationships?

The best way to chase late payments without damaging relationships is to use automated, pre-written reminders that escalate in tone gradually and politely. Start with a friendly nudge that assumes the payment was simply overlooked, then move to a more direct reminder, and only escalate to a formal tone after multiple attempts. Automated invoice chasing software lets you schedule these reminders at sensible intervals and personalise the language so it sounds like you, not a debt collection agency. This approach keeps the conversation professional and non-confrontational, which preserves the relationship while still making it clear that payment is expected.

How does bank statement reconciliation work with invoice chasing automation?

Bank statement reconciliation in invoice chasing automation works by connecting your bank feed to the software and automatically matching incoming payments to the corresponding open invoices. When a client pays, the software sees the deposit on your bank statement, matches it against the invoice amount and reference, and marks that invoice as paid without any manual input from you. This means you immediately know who has paid and who hasn't, and the software stops sending reminders to clients who have already settled their bill. It removes the tedious task of cross-checking your bank account against your invoice list and ensures your books stay accurate in real time.

How much admin time can I save by automating overdue invoice reminders?

Automating overdue invoice reminders can save you several hours every single week. The Intuit QuickBooks report found that UK small businesses spend an average of 10 hours per week chasing late payments, and most of that time is taken up by checking who hasn't paid, drafting follow-up emails, and chasing the same clients repeatedly. Once your software is set up, those tasks happen automatically in the background, which means you only need to step in for genuinely complex cases. Most small business owners find the time saving is immediate and substantial, freeing up an entire working day or more each week.

What does automated late payment chasing cost for a UK or EU small business?

Automated late payment chasing typically costs between £10 and £50 per month for a UK or EU small business, depending on the number of invoices you send and the features you need. Most providers offer tiered pricing plans, with entry-level packages covering basic reminder automation and higher tiers adding bank reconciliation, multi-currency support, and detailed payment analytics. When compared to the 10 hours per week the average small business spends chasing payments, even the highest tier is an excellent value proposition. The software usually pays for itself the first time it recovers a single overdue invoice that you would have had to chase manually.
